Privacy Policy
Cordially for iPhone · Updated October 10, 2026
This policy covers the Cordially iPhone app, its App Clip and the server it talks to at app.usecordially.com. Questions go to privacy@usecordially.com.
What we collect
- Your name, work email, company and role, and which chat and CRM tools you told us your team uses.
- What you add at events: events, accounts, the people you met and their titles, notes, next steps, recaps, handoffs and asks for help. Your teammates see what you share with them.
- What an event organizer brings in: the guest list (names, work emails, companies and titles) and an accounts report from your CRM (account names, websites, owners and their work emails, stage and renewal date). We only read the report and never write to your CRM.
- Guests who text an event's number: their phone number, what they texted and whether they opted in or out.
- A push notification token for your phone, so teammates' asks for help reach you.
- Your plan and billing status, if your team pays.
Voice notes stay on your phone
When you record a note, your iPhone turns speech into text with Apple's on-device speech recognition. No audio leaves the phone and the app keeps no recording. Names, the summary and next steps are found on the phone too. Only the text of the note, and what the phone found in it, goes to our server.
A hands-free listening session works the same way. You start it, the app keeps turning speech into text on the phone while it's in your pocket, and it stops when you tap Stop, after a few minutes of quiet or after 30 minutes. The text waits on your phone as drafts, and nothing reaches our server until you save a draft. If you use it, tell the people you're talking with; some places require their consent.
Your calendar stays on your phone
If you turn on nudges after meetings, the app reads when today's meetings start and end so it can remind you to add a note during a break. It reads this on your iPhone and sends none of it to our server. Reminders while you're checked in at an event are scheduled on the phone too.
How we use it
To run Cordially for you and your team: saving notes, labelling them, drafting follow-ups you ask for, finding events, alerting teammates and sending the texts a named teammate approved to guests who opted in. We don't sell your data or show ads. The app has no analytics or advertising SDKs.
To see how Cordially is used, our server records when you sign up, make or join a Space, save a note (and whether any of it was spoken), share or accept an invite, send or pick up an ask for help, and see, tap or dismiss one of the app's tips. We also keep a record of the alerts we send you. These records carry your email, your company's domain and IDs, never the text of a note or the names of the people you met.
Cordially doesn't email or text your customers. Follow-ups open unsent in your own Mail, Gmail, Outlook, Messages or WhatsApp. The only email we send is your sign-in code.
Who handles it for us
These companies process data for us to run Cordially. Some store it in the United States.
- Vercel
- Hosts the Cordially server and keeps its logs.
- Neon
- Our database.
- Apple
- Sign in with Apple, push notifications to your teammates, and TestFlight and the App Store.
- Sign in with Google, if you use it.
- Cloudflare
- Sends the sign-in code to the email address you type in, and runs DNS.
- Jev (Typesafe, through OpenRouter)
- Reads the text of a note to label it, pick which of your accounts it's about and suggest a person's role.
- Anthropic (Claude)
- Drafts a follow-up from a note when you ask for one.
- OpenRouter
- Searches the web for events your company is part of, using your company's name and domain.
- Brandfetch
- Finds company logos and domains from company names.
- Twilio
- Sends and receives texts with event guests who text your event's number.
- Stripe
- Takes payment for paid plans. We never see your full card number.
- PostHog
- Counts what people do in Cordially (accounts made, events added and checked in to, Spaces made and opened, notes saved, invites, asks for help, tips you saw or tapped, and which days you use it), tied to your email and company domain. Never the text of a note or who you met.
How long we keep it
We keep your data while your account exists. Delete your account in the app under Settings, Delete my account. That removes your account at once, and if you're the last person on your team, it removes the team's data and cancels its plan. Server logs expire on Vercel's schedule.
Your rights
Email privacy@usecordially.com to see, correct or delete what we hold about you. We answer within 30 days. Depending on where you live, you may have more rights under privacy law, and we'll handle your request under the law that applies to you.
When a company uses Cordially, we handle its event guests' data on that company's instructions. A guest can text STOP to the event's number at any time.
Children
Cordially is for people at work. It isn't meant for anyone under 16 and we don't knowingly collect their data.
